Getting started as an administrator

Setting up an account has a natural order: describe the organisation, add the people, put the content in, decide who has to complete it, then report on it. Each stage below links to the article that owns it.

If you chose I want to explore the system first when your account was created, Learnient filled it with demo people and content so you could see how it behaves before committing to anything.

Two things are worth knowing before you rely on it. Exploratory mode lasts 14 days, and it can only be used once: once it has been turned off it cannot be turned on again.

Turning it off removes the demo people it added and keeps everything you created yourself. The departments, locations and job titles the demo data brought with it are left behind for you to look at, and the window that appears as you exit lists them.

You turn it off under Admin, then Workspace and Settings, at the bottom of the page.

Letting the 14 days run out is not the same as turning it off. The mode ends either way, but the demo people are only removed when you turn it off yourself, so leaving it to expire leaves them in your account.

Most of what you look at in Admin is a list, and on a smaller screen a list shortens or hides some columns so it never scrolls sideways. How lists fit your screen explains what the … and the +2 mean and how to see everything.

The question mark at the top right of Learnient, beside the dark mode switch, opens a help panel beside the screen you are on, so you can read and work at the same time. It shows the article written for that screen, with the other articles about the screen listed underneath, a search box for the whole help centre, and Ask Lenni wherever Lenni is available. Open in a new tab takes the article out of the panel if you want it full size. It also chooses for the person looking: on the course library it shows creating a course for you, and finding and completing training for a learner. The course builder has the same question mark in its own header.

The panel follows what you have open. Select a question in the course builder and it opens adding a question; open course settings and it shows the section for the tab you are on, so the Assignment tab leads to assigning a course and the Advanced tab to attempts, pass marks and certificates. With Version history open, it shows the article about versions. When course settings are open, the panel sits beside them rather than underneath. If you pick another article from the list, or search, the panel stays on that until you choose Back to the article for what you are doing.

The question mark only appears on screens that have an article for the person looking, so learners do not see it on screens only administrators’ articles cover. If it is missing for you, nothing has been written for that screen yet, and searching the help centre is the way in.

Settings is also where the account itself is described. Account name can be changed until your billing starts, after which it is fixed and support has to change it for you.

Account login page is the address your people sign in at. It is fixed and cannot be edited.

Account timezone is the one to set deliberately, because it is the clock scheduled things run on unless they have been given their own: when a launch rule fires, and when a scheduled report is sent. Training deadlines are whole dates and do not depend on it.

Set up your companies, departments, locations and job titles before you add people, so everyone can be placed as you go. See Setting up companies, departments, locations and job titles.

Add them one at a time with Adding and editing a user, or bring a spreadsheet with Importing and updating users.

Nobody can sign in until they are invited, and Invitations and sign-in access covers what they receive. If your people sign in through your own identity provider, set that up first: Setting up single sign-on.

Build a course with Adding and ordering content in a course, or bring one you already own with Uploading SCORM, xAPI and external courses.

Assigning a course controls who can open a course and who is required to finish it. Then give people a deadline with Due dates and deadlines and tell them about it with Reminders.

How compliance and completion are counted explains what the numbers mean before you quote them to anyone.

Your people can sign in, the training they must do is assigned and has a deadline, and your compliance figure is one you would be willing to show an auditor.
