Creating somebody does not let them in. They also have to be told, and what you do next depends on the status their record is in.
The five statuses
Section titled “The five statuses”| Status | What it means |
|---|---|
| Invited | They have been emailed and have not accepted yet |
| Imported | They exist in Learnient and nobody has told them |
| Active | They have accepted and can sign in |
| Pending | They signed themselves up and are verifying their email |
| Archived | They cannot sign in at all |
Imported is the one that surprises people. It is what a spreadsheet import leaves behind when the invitation toggle was off, and nothing further happens to those people until you invite them.
Inviting somebody
Section titled “Inviting somebody”- Find the person in Users.
- Choose the actions menu at the end of their row, the three dots.
- Choose Invite.
Invite only appears on somebody who is Imported. On an Invited person the menu offers Activate instead.
The menu is short at this stage: Edit, Move to and Invite, alongside the data actions that appear on everybody. The ways back in that an active person has, and Archive, are not there yet.
Inviting several people at once skips anyone already active or archived, so you can select a whole list without picking through it.
Inviting somebody who is already Invited sends the email again, which is the way to deal with one that went astray.
What they receive
Section titled “What they receive”An email inviting them, with an Accept invitation button. Opening it takes them to a screen where they choose their own password, and their status becomes Active as they finish.
The link is good for 24 hours. After that, invite them again rather than waiting for them to find it.
Activate on an invited person is a different thing from them accepting. It makes them active without them ever setting a password, so use Invite again unless you intend to set their password yourself.
For somebody who is already active and cannot get in, and for archiving somebody who leaves, see Restoring access and archiving leavers.
