Finding and organising courses in the library

Everything you have built lives in one place. The menu calls it Library and the page calls itself Courses — they are the same screen, and it holds courses, learning paths and external training together.

Two ways to look at it

Grid view shows cards with a thumbnail. Table view shows a row per course with modules, duration and status. On a narrower window the table hides the columns it has least room for, Rating and Level first, and the count at the end of the header row names them. See How lists fit your screen.

A course with changes waiting for publish approval shows Changes awaiting publish approval beside its status. It keeps its status meanwhile: a published course stays published, and learners keep the approved version until the changes are approved.

The choice is not only cosmetic. Selecting courses only works in Table view, so every bulk action below is invisible until you switch. If you are about to act on more than one course, switch first.

Narrowing the list

Along the top: Published, Draft and All. A Pending approval tab appears only while something is waiting on a publish approver, and a Generating tab only while AI is writing one, so a tab you saw yesterday may not be there today.

Down the left: category, level, and type — Course, External, Learning path, SCORM course, xAPI course. Each shows a count.

Filters, at the top right, adds duration, rating, features, date created and skills. The button becomes Hide filters once the panel is open, and Reset clears the panel without touching the tabs.

Then a search box and a sort control, and a page-size control at the bottom.

A short list is usually a filter you forgot. The facets, the tabs and the search all narrow at once, and your choices are remembered — they survive leaving the library and coming back, so an empty library is more often a leftover filter than an empty account.

Clear filters in the empty state resets everything.

Acting on several courses at once

Switch to Table view.
Tick the courses you want, or use Select all in the header.
A bar appears telling you how many are selected, with two actions.

Bulk assign	Opens the assignment tab of the course settings, applied to everything selected
Move to…	Puts them all in one category

Those two are the whole set. Anything else — renaming, duplicating, publishing — is one course at a time from the row menu.

The three dots at the end of a row offer Edit course, Duplicate, Translate, Rename, Move to draft and Delete.

Delete is refused once anybody has completed the course, and the menu says so on the disabled item rather than failing after you confirm. Somebody part-way through does not block it; a completion does, because deleting the course would destroy the evidence they finished it.

Move to draft is the one to reach for instead: it takes the course off the shelf without destroying the record of who did it.

There is no Course settings here. Settings live behind the cog inside the course itself.

Adding something new

New course is the button. Its menu holds New learning path and New external course.

Import is separate, and holds more than people expect: Courses, Engagement, SCORM package and xAPI course. Engagement import is how you bring in completions from elsewhere, and it lives here rather than on a course.

One thing worth knowing about categories

The category filter carries a Subscribe to notifications control. Anybody subscribed to a category is told when a course appears in it for the first time — not on later republishes.

Archived courses

Archiving exists as a permission, but the library offers no way to reach what it produces — there is no Archived tab and nothing in the Filters panel. Course categories and the question bank both have an Active/Archived switch; the library does not.
