Lenni is the assistant at the bottom of most Learnient screens. Ask it how to do something in Learnient, ask it about a topic your training covers, or, if your role allows it, ask it for figures about training in your employer’s Learnient.
What can Lenni do?
Section titled “What can Lenni do?”Lenni answers questions and, if your role allows it, makes changes for you. Everyone can ask Lenni about their own learning (what to learn next, courses on a subject, their skills, gaps and what’s due), about topics their training covers, and how to do things in Learnient. Depending on your role, you can also get figures, tables and charts across your organisation, and have Lenni make changes such as creating or deleting a department, moving people, assigning courses, sending reminders and approving requests. These guides go into each with example questions:
- Asking Lenni about your learning and courses: what to learn next, finding courses, your skills and what’s due, and answers from your training
- Getting figures, tables and charts from Lenni: numbers, tables and charts about training across your organisation or team, and downloading them
- Asking Lenni to make changes: creating groups, moving people, deleting a department, assigning courses, sending reminders and more, each confirmed by you first
- Getting the best from Lenni: how to ask, following up, shortcuts and what Lenni won’t do
Where to find Lenni in Learnient
Section titled “Where to find Lenni in Learnient”Lenni is the bar along the bottom of the screen that says Ask Lenni…. Type a question there and press Enter, and Lenni opens and answers it. You can also open Lenni first with the arrow at the end of the bar.
Screenshot missinglenni-bar

Lenni opens as a panel over the screen you are on, and its header names the part of Learnient you opened it from, such as Your learning or Reports. Press Esc or choose Close Lenni to put it away. In the question box, Enter sends, Shift+Enter starts a new line, and the up and down arrows bring back questions you asked earlier.
Lenni is not shown while you are taking a course or an assessment, building a course or a learning path, or looking at a completion or certificate page, so that it never sits on top of the thing you are working on.
On the mobile app, Lenni is the bar just above the tabs at the bottom of the screen, and it opens in the same way.
Questions about how to use Learnient
Section titled “Questions about how to use Learnient”Ask Lenni “how do I…” questions about Learnient, such as “How do I add a passkey?” or “How do I assign a course to a team?”. Lenni answers from the articles in this help centre and ends the answer with Read more and a link that opens the help-centre section it used, in a new tab.
If nothing in the help centre or your training covers the question, Lenni says so rather than guessing, and points you to Learnient support for questions about Learnient, or to your manager or learning team for questions about your work.
Questions about topics your training covers
Section titled “Questions about topics your training covers”Ask Lenni about a subject, such as “What should I do if I discover a fire?”, and it answers from the courses in your employer’s Learnient. Under the answer, sources lists the courses it used. Each one links to the part of the course the answer came from, down to the moment in a video, and to the full course.
Lenni only uses courses you are allowed to see. If the answer is in a course you do not have access to, Lenni tells you the training exists and suggests asking your manager or learning team for access.
When a question matches both this help centre and your training, Lenni asks which you meant, with a choice between Help with using Learnient and Answer from my training courses.
Questions about your own learning
Section titled “Questions about your own learning”Ask “What skill gaps do I have?” or “Am I compliant?”, and Lenni answers from your own learning record. Ask “What should I learn next?”, for courses on a subject, or for the most popular or best rated courses, and it suggests courses as cards you can open. See Asking Lenni about your learning and courses for more examples.
Figures, tables and charts from Lenni
Section titled “Figures, tables and charts from Lenni”If your role lets you see learning analytics, you can ask Lenni for figures, such as “How many people completed fire safety this month?” or “Show completion by department as a chart”. Lenni answers with a number, a table or a chart, and you can ask it for a download of the result as a spreadsheet, a PDF or, for a chart, an image.
For a table, ask for “Excel” to get an Excel workbook (.xlsx) with numbers you can sum and sort, or for “CSV” to get a .csv file that opens in any spreadsheet program. If you just say “export” or “download”, Lenni gives you a CSV. A chart downloads as a PNG or JPG image, or as a PDF.
You can also download a table without asking. Choose Export (the download icon at the top right of the table), then Download PDF, Download CSV or Download Excel. Each one downloads every row of the result, not just the rows showing.

Lenni’s figures respect what you can see elsewhere in Learnient. Someone who sees only their own team gets figures for their own team, and everyone gets figures for their own employer only.
If your role does not include learning analytics, Lenni tells you it cannot show those figures and suggests something it can help with instead.
For the kinds of question that work, how to refine an answer and what the figures cover, see Getting figures, tables and charts from Lenni.
Asking Lenni to make changes
Section titled “Asking Lenni to make changes”If your role includes Lenni: Take actions, you can ask Lenni to make changes in Learnient, such as “create a group called Fire Wardens” or “find everyone in Sales and assign them GDPR Basics, mandatory, due in 30 days”. Lenni never changes anything straight away. It shows you a card saying exactly what it will do, and nothing happens until you choose Confirm.

Expected at src/assets/screenshots/guides/ask-lenni-your-learning-assistant/lenni-action-card.png
The card lists each step with its numbers and names, each person with their works ID if they have one, and anyone left out and why, such as someone who already has the course. Where a change could apply in more than one way, the card asks you to choose. The card expires after 10 minutes if you don’t confirm it, and asking Lenni something else sets it aside. Typing “yes” in the chat doesn’t confirm it; only the Confirm button does.
After you confirm, Lenni shows its progress and then what it finished. For 10 minutes afterwards you can choose Undo, which reverses exactly what that change did. If something stops part-way, or part of an undo can’t be done, Lenni tells you which parts finished and which didn’t, and why.
In a follow-up, “her”, “him”, “them” or “those people” means the people your last change in the conversation was about, so “move Fred Jones to Sales” then “and assign him GDPR Basics” works. If Lenni can’t tell who you mean, it asks. When you ask for several things and Lenni can do only some of them, the card does those and says which part it can’t do yet, for example renaming a department.
You can confirm Lenni’s changes in Learnient on the web and in the mobile app. If an older version of the mobile app can’t show the card, Lenni asks you to update the app or use the web.
Everything Lenni changes follows the same rules as the screens, and it’s recorded in the audit log as done by you through the Lenni assistant. For more about who can use this and how it keeps changes safe, see How Lenni actions work.
What Lenni can change for you
Section titled “What Lenni can change for you”| Ask Lenni to… | For example |
|---|---|
| Create a group | “Create a group called London” |
| Create a department, location, job title or company | “Create a location called Leeds” |
| Delete a department, location, job title or company that nobody is in and nothing uses | “Delete the Leeds location” |
| Move people to a department, location, job title or company, if your organisation doesn’t use positions | “Move Fred Jones and Priya Shah to the Sales department” |
| Take people out of their department, location, job title or company without giving them another, if your organisation doesn’t use positions | “Take Fred Jones out of the Sales department” |
| Give people a position, move them into one, or take one away, if your organisation uses positions | “Move these people into the Team Leader position” |
| Assign a course or learning path to people | “Assign Leadership Essentials to Fred Jones and Priya Shah, due in 30 days” |
| Assign a course or learning path to everyone in a department, location, job title or company | “Assign GDPR Basics to everyone in the Leeds location” |
| Unassign a course from people, keeping their progress | “Unassign GDPR Basics from these people” |
| Email people a reminder about overdue, expired or expiring training, or training they haven’t been working on | “Remind everyone who is overdue on Fire Safety” |
| Approve or reject requests waiting for your decision | “Approve all the pending course requests” |
You can chain these in one request, such as “create a department called Customer Success and move Fred Jones and Priya Shah into it”. Lenni shows every step on one card.
When you assign a course to a department, location, job title or company, the card asks you to choose between everyone there now and anyone who joins later, or only the people there now. The first adds the course to the unit’s assignment rules, so anyone who leaves has it unassigned and keeps their progress.

An email can’t be unsent, and an approval decision can’t be taken back, so the card for a reminder or an approval lists everyone it affects and asks you to type how many there are before Confirm becomes available. These two changes have no Undo.
Lenni never creates a position. If no position matches what you asked for, Lenni tells you, and you can add the position on the Positions page first (see Setting up positions). If you name a department rather than a position, such as “move them into IT”, Lenni looks for the positions in that department and asks which one you mean when there is more than one.
Lenni doesn’t change roles, permissions, passwords, sign-in settings, billing or integrations, and it doesn’t delete people. It can’t yet rename anything or delete groups. Do those in Learnient itself; Lenni can tell you where.
Deleting a department, location, job title or company with Lenni
Section titled “Deleting a department, location, job title or company with Lenni”Ask Lenni to delete a department, location, job title or company, such as “delete the Leeds location” or “get rid of the Team Leader job title”, and it checks first, the same way Delete on the settings screen does. If anything would stop the delete, Lenni tells you on the spot instead of showing a card: people are still in it (with how many), a course is assigned by it, a position names it, or, for a job title, skills are attached to it. Deal with that first and ask again.
If you ask to move people out and delete in one request, such as “move everyone in Finance to Sales and delete Finance”, Lenni can’t do both on one card, because it checks every step before it changes anything, and the people are still in Finance at that point. Ask for the move first, then ask Lenni to delete Finance.
Undo brings the deleted department, location, job title or company back as it was. If a new one with the same name has been created since, Lenni can’t bring the old one back and tells you why.
Taking people out of a department, location, job title or company with Lenni
Section titled “Taking people out of a department, location, job title or company with Lenni”To leave someone with no department, location, job title or company, ask Lenni to take them out, such as “take Fred Jones out of the Sales department” or “remove Priya Shah’s job title”. If you name the department, only the people in it change, and the card lists anyone else you named as skipped. If you don’t name it, each person loses whatever they have. Undo puts everyone back where they were.
To put people somewhere else instead, ask Lenni to move them: “move Fred Jones from Sales to Marketing” is one move, and Fred ends up only in Marketing. With positions switched on, people’s departments and job titles come from their positions, so ask Lenni to change their positions instead.
Why can’t Lenni make that change for me?
Section titled “Why can’t Lenni make that change for me?”Lenni tells you the reason instead of trying. Usually your role doesn’t include Lenni: Take actions, your organisation has turned Lenni actions off under Admin → Workspace → AI, or you can see only part of your organisation. It can also be that your role can’t make that change in Learnient at all. Lenni still answers your questions either way.
Checking and rating Lenni’s answers
Section titled “Checking and rating Lenni’s answers”Lenni can make mistakes, and says so under the question box. For anything that matters, check the answer against the course or the help article it links to.
Under each answer you can copy it, or rate it with Thumbs up or Thumbs down. A thumbs down keeps the conversation leading up to that answer so it can be looked into and Lenni improved.
Lenni’s quick guide and starting a new conversation
Section titled “Lenni’s quick guide and starting a new conversation”Help in Lenni’s header, or typing /help, shows Lenni’s quick guide. The guide is built around what your role lets you do: everyone sees learning, training and Learnient help, and it adds figures and changes only if your role allows them. Type /help followed by a topic to go straight to it, such as /help courses, /help me, /help training, /help figures or /help tips.
New chat clears the conversation and your history with Lenni, after asking you to confirm. This cannot be undone. Otherwise Lenni keeps your recent conversation, so you can scroll back to earlier answers and follow up on them.
What Lenni will not help with
Section titled “What Lenni will not help with”Lenni is there for your learning and for Learnient. It declines harmful, offensive or illegal requests, political and religious debate, and attempts to make it ignore its rules, and it steers homework, essays and general trivia back to your training. Workplace topics that sound sensitive, such as harassment training, are fine to ask about.
Lenni understands questions in other languages, but it always answers in English, whatever language you use Learnient in.
Why can’t I see Lenni?
Section titled “Why can’t I see Lenni?”Lenni appears only when all three of these are true: your employer has AI switched on, the AI chatbot switch is on, and your role includes Lenni: Chat. If any of them is off, the Lenni bar is simply not there. Ask your administrator.
Administrators turn the switches on and off under Admin → Workspace → AI (see Choosing which AI features are available), and give or remove Lenni: Chat on a role (see Creating and editing a role). Every built-in role includes it to begin with.
What if Lenni says it isn’t available for your account?
Section titled “What if Lenni says it isn’t available for your account?”Lenni isn’t available for your account means Lenni was switched off, or your role stopped including Lenni: Chat, while you had Learnient open. Lenni checks the same three things before every answer, not just when the page loads, so a change your administrator makes applies within about a minute. After the message, the Lenni bar disappears. If you still need Lenni, ask your administrator.
What if Lenni says it cannot connect?
Section titled “What if Lenni says it cannot connect?”Unable to connect to Lenni means the assistant is briefly unavailable. Choose Retry connection, and if it keeps happening, the help articles and the rest of Learnient still work as normal.
Lenni couldn’t start just now means Lenni could not confirm that you can use it, so it did not answer. Nothing has been switched off. Ask your question again in a moment.
