Running one-to-ones

A one-to-one is a form and a conversation, run through a workflow like any other cycle. The screen exists to launch them and to see which ones are still open.

Where it is

Choose Admin, then Development in the left-hand menu and One-to-ones.

The screen names the path that leads here: build the form, wire the actions, choose who and when, check and launch. The first two live in Forms and Workflows — a one-to-one cannot be launched until both exist.

Launching one

1. What are you launching? Choose the workflow.
2. Who is it for? Search for a person, or add a group. The count updates as you build the list.
3. When should it start? Start now, or schedule for later.
4. Check the summary and launch.

The audience is fixed at save, as they are today — the same rule as every launch page, and the reason a changing group needs a rule instead.

Recurring one-to-ones are a rule, not a habit

This is the one thing worth getting right. A monthly one-to-one is not a manual launch repeated twelve times — it is a recurring launch rule, and the Launch rules button on this screen goes straight there.

Launching by hand each month means the month somebody forgets is the month it does not happen, and the people who joined since the last launch are missing from it.

What the screen tells you afterwards

Records splits into Scheduled, In progress and Completed, with counts. Launched cycles lists the launches themselves rather than the individual forms — useful for answering “did the March round go out?” without reading every record.

A large audience is created in the background, so the individual records appear over a short period rather than all at once.

What people are actually told

Launching creates the records. It does not notify anybody by itself — a notification goes out only where the step is a notify node, or a task step the author configured to send email.

So a workflow with no notify on its first step creates the one-to-one and waits silently. The launch screen says as much, but it is easy to read past.

So before a real round, launch one for yourself and see what arrives. That single test is the difference between a cycle that starts and a cycle that sits.

Cancelling

A one-to-one can be cancelled, which needs its own permission separate from launching. Cancelling does not unsend anything already sent.

If nothing appears

Check Scheduled before assuming a launch failed — a one-to-one set to start later sits there until its date, which looks identical to nothing having happened.
